Sad News, But A Good Decision.
TL;DR (Too Long; Didn’t Read):
– Geekway 2020 is cancelled
– We will send information on how to receive a refund in late May
– You need to cancel hotel reservations on your own
– If you are a Patron, please check your email for another message from us
– Geekway 2021 is May 13-16, 2021, and registration will begin in January of 2021
It’s with a mixture of sadness and relief that we are announcing that Geekway 2020 will be cancelled. We would like to say thank you to you, our fantastic attendees, for being patient with us as we worked through this with both the St. Charles Convention Center and the Embassy Suites. We would also like to thank both venues for being great partners during all of this. They have been responsive, kind, and fair during this unprecedented crisis.
But there is good news, too! Geekway 2021 is still on, and we have dates locked in with our venues through 2024. Mark your calendars now for May 13-16, 2021, for Geekway to the West in one short year.
Rollovers and Refunds
We will refund all Regular Attendee badges and merch sales. We previously were allowing a “rollover” option, but that has not worked out for us, for three main reasons:
- There were not good options for Geekway dates later in the summer
- We are concerned about a second wave of COVID that will require another shutdown later this year
- The Convention Center may have stricter occupancy rules in the future, and the badges we’ve already sold might put us over that limit
It will take us a couple of weeks to begin processing refunds. This is because we have already paid the full bill to the Convention Center for 2020, and they have to send us the funds back. Once we have that money, we will need a couple of days to deposit the check and have it clear our bank account. Then we will be able to proceed!
Requesting a Refund
When the stars are right (which Cthulhu says will be late May), we will send another update and let you know that you can request a refund. We cannot process any refunds before we send that email.
Once we turn the process on, we will ask each purchaser to request their own refund in Tabletop Events. This is for two reasons:
- We will have to manually process refunds if you don’t request them yourselves, and that’s a lot of work!
- We want to make sure you update your email so that we know who was registered this year so we can track you for a “loyalty” reward (which we hope to give out at Geekway 2021).
Once we open refunds, we will give several days for everyone to request their own, and then we will manually process everyone that is left. In other words – you don’t have to do anything at all if you don’t want to, as we will make sure we get your refund processed. But if you do your own, you will get your refund quicker, and save us a lot of painful work!
Embassy Suites has begun cancelling some reservations that were in the Geekway block, but it is still up to you to make certain that your hotel reservation is cancelled. If you had a hotel reservation, please make sure to check on this ASAP!
Patrons pay an extra amount of money to help support Geekway. There are only a few Patron badges available relative to demand, and those who get them sit patiently at their computers and then frantically refresh their screens to grab one. Because of this level of fanatical dedication, we are offering Patrons the ability to retain their Patron status for 2021. If you are a Patron and choose to do this, we will not process a refund for you, and you will keep that status. If you are a Hotel Patron, you will again be able to reserve a room in the Geekway Hotel Block at Embassy Suites before we open up hotel registration to everyone else. You should have already received another email that explains this process. If you are a patron and did not receive that email, please reply to this email and we will sort it out.
As previously mentioned, we are scheduled through 2024! You can mark your calendars now for Geekways for the next four years.
- May 13-16, 2021
- May 12-15, 2022
- May 18-21, 2023
- May 16-19, 2024
Again, thank you all so much for your support and patience as we move through this. It has been very stressful, and while we are sad that Geekway won’t happen this year, we know we will see you next year and be happy and relieved that we have made it through this time of crisis. Please stay safe and healthy, and keep on gaming!
